Office Operations Manager
Experience Champaign-Urbana (ECU) is seeking a highly organized, proactive professional to serve as our Office Operations Manager. This key position oversees the day-to-day operations of ECU and the ECU Foundation, supporting financial processes, human resources functions, board coordination, office management, and organizational systems. The ideal candidate is a strong communicator, problem solver, and relationship builder who thrives in a collaborative, mission-driven environment.
Qualifications
- 3–5 years of experience in operations, administration, office management, or a related field
- Strong organizational and project management skills
- Experience with financial administration, HR support, and nonprofit operations preferred
- Ability to manage multiple priorities with professionalism and attention to detail

Position Summary
Experience Champaign-Urbana (ECU) is seeking a highly organized, detail-oriented Office Operations Manager to oversee the daily administrative and operational functions of the organization. This position plays a key role in supporting staff, coordinating office operations, assisting with financial and human resource processes, supporting board governance, and helping ensure a positive and efficient workplace environment.
The Office Operations Manager reports directly to the President, CEO & Foundation Executive Director and serves as an important member of the ECU team in advancing our mission to promote a welcoming destination experience that strengthens economic opportunity and enhances the lives of residents.
Key Responsibilities
Office & Administrative Operations
- Manage day-to-day office operations and administrative systems.
- Coordinate office supplies, equipment, technology support, and facility needs.
- Maintain organizational files, records, policies, and procedures.
- Process incoming and outgoing mail and general correspondence.
Board & Executive Support
- Coordinate Board of Directors meetings, including scheduling, meeting materials, and logistics.
- Provide administrative support to the President, CEO & Foundation Executive Director.
- Assist with preparation of reports, correspondence, and organizational documentation.
Financial Administration
- Support accounts payable and accounts receivable processes with Finance Manager.
- Process invoices, payments, and financial documentation.
- Assist with tracking budgets, vendor relationships, and financial records.
Human Resources & Staff Support
- Maintain personnel records and paid time off tracking.
- Assist with employee benefits administration and onboarding activities.
- Coordinate staff training, professional development, and office-wide communications.
Visitor Services & Community Engagement
- Supervise the Visitor Experience Coordinator.
- Support operations of the Welcome Centers.
- Assist with visitor inquiries and customer service initiatives.
- Coordinate volunteer scheduling and support for major events and programs.
Event & Project Support
- Provide logistical and administrative support for ECU events, meetings, and special projects.
- Assist staff with event preparation, materials distribution, and community outreach efforts.
Qualifications
- Associate's degree required; bachelor's degree preferred.
- Three or more years of office management, administrative, operations, or related experience.
- Strong organizational and project management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and common business software.
- Ability to manage multiple priorities with attention to detail.
- Positive, collaborative, and customer-focused attitude.
Work Environment
- Full-time position based in Champaign, Illinois.
- Occasional evening and weekend work may be required.
- Ability to lift up to 30 pounds and assist with event materials when needed.
- Valid driver's license and reliable transportation required.
